Salutations and endings

Dear Sir, / Sirs, --- Use only when you are writing a formal or official letter and you do not know

the person you are writing to, or their name. (Yours faithfully,)

Dear Mr Smith, / Ms Park, / Dr Yang, --- Use the title with the family name when you are writing a formal letter to someone you know or whose name you have been given. Use this salutation for people you don’t know very well or where you need to show respect. (Kind regards, Yours sincerely)

Dear Rosemary, / Tom, --- Use given names only with people you know quite well. In business this is sometimes acceptable, but if in doubt, use the family name. Always use given names when writing an informal letter to a friend or relative. (Kind regards, Best wishes, Lots of love,)

-------

In General Training Writing Task 1, you must cover all three of the bullet points in your letter and end your letter appropriately. You also need to write in paragraphs and use the right tone.

Your have recently heard that a friend of yours has had some problems as a result of some unusual weather. Write a letter to your friend.

In your letter

? express concern

? tell them about a similar experience that you once had

? give some advice or offer help.

Step 1---Read the task and decide what type of letter is required (e.g. formal or informal,) and what the purpose of the letter is. Underline the key words that help you decide.

Step 2---Brainstorm some ideas about unusual weather and the damage it can cause. Note useful vocabulary.

e.g. storm/roof blown off the house; wet, flood; fires; dry, drought; cold, ice/snow…

Step 3---Make notes for each paragraph.

Step 4---Expand the notes into a complete letter.

Step 5---Read your letter carefully to check the grammar, spelling and organization.

Dear Anna and Leo,

We were shocked to hear from Lara about the storm that hit your city recently and the damage done to your house. How awful to come home from your holiday to find the roof blown off the house!

I understand how you must feel, as we had a similar experience a few years ago when there was sudden electrical storm here in Sydney. I came home from work to find that a tree had fallen on top of the house and all the windows were broken. Fortunately the insurance covered the cost of the repairs, but it was still very upsetting.

I suppose you have to think positively in situations like this and look at the opportunity you have to improve your house---give it a new look. If we can do anything for you in the holidays, we’d be happy to help.

Drop us a line and let us know.

Best wishes,

Directions:

You are preparing for an English test and are in need of some reference books. Write a letter to the sales department of a bookstore to ask for:

1) detailed information about the books you want,

2) methods of payment,

3) time and way of delivery.

分析:

I am writing to complain about…

I am writing to apply for the position of…

I am writing to thank you for…

I am writing to apologize for…

I am writing to inform you of…

Complain about the food in the Students’ Cafeteria

并列式:food quality---food price

The food quality is far from satisfactory. --- Actually, it is so hard to eat that it is a challenging experience to finish a meal in the students’ cafeteria.

It is not difficult to find the remains of dead flies or be shocked by a whole dead mouse.

(询问你所想要的书籍的详细信息)---detailed information about the books you want 询问常用表达:

? I want to buy…

? I intend to purchase…

? I would like to have…

? Could you please tell me…

? Could you let me know…

? I am wondering if you have…

1. 同时问数本书;

I am wondering if you have a vocabulary book covering the words required for IELTS, as well as past examination papers with keys and model essays.

I am wondering if you have How to Prepare for NETEM written by Prof. Wang and published by the Higher Education Press in July, 2005?

(付款方式)methods of payment

Besides, how should I pay for these books---by cash, check, or any other means? If possible, I would like to use my credit card.

1) 代词---these…

(书籍送达的时间和方式)time and way of delivery

Finally, how will these books be shipped and when is the approximate time I can receive them? The express mail is preferable if the additional charge is not too much.

注意改写:delivery可以换词性,写成how will these books be delivered?

I am looking forward to your reply.

I would appreciate it if you could send me a reply at your earliest convenience.

例文:

Dear Sir or Madam,

I am writing for information about test preparation materials for the IELTS test.

I wonder if you have a vocabulary book covering the words required for IELTS, as well as past examination papers with keys and model essays. Besides, how should I pay for these books---by cash, cheque, or any other means? If possible, I would like to use my credit card. Finally, how will these books be shipped and when is the approximate time I can receive them? The express mail is preferable if the additional charge is not too much.

I would appreciate it if you would send me a reply at your earliest convenience.

Task 1

You were hurt in a minor accident inside a supermarket, and you wish to complain to the supermarket.

Write a letter to the manager of the supermarket. In your letter

? say who you are

? give details about the accident

? suggest how the supermarket could prevent similar accidents.

范文:

Dear Sir or Madam,

I am writing this letter to inform you of the accident I had at 3:45 pm yesterday.

I was pushing my shopping cart down the aisle by the frozen meats when I slipped on the wet floor and broke the scaphoid bone in my right wrist as I tried to stop my fall. Your staff were very helpful, and your assistant manager drove me to St. Martin’s Hospital, where my arm was put in a cast that will stay on for about six weeks.

I am a self-employed canteen owner, and will not be able to work for at least two months. My insurance will only cover my medical costs, not my lost earnings, which, as you can see from the attached photocopies, average 450 pounds a week. Given that the accident was due to the dangerous condition of the floor, I trust you will arrange for me to be compensated with an amount equal to my average weekly earnings for the time that I am unable to work.

May I suggest that you instruct your staff to pay better attention to safety, and have a sign that clearly warns customers of such dangers as a slippery floor.

Yours sincerely

John Smith

You want to sell some of your furniture. You think a friend of yours might like to buy it from you.

Write a letter to your friend. In your letter

? explain why you are selling

? describe the furniture

? suggest a date when your friend can come and see the furniture

范文:

Dear John,

As you know, I am a very lazy letter writer. What prompts me to write this is that Jane and I are selling the house and going to work in Hong Kong for a few years. The last time you were here you said how much you liked a lot of our furniture, so we decided to let you have the first opportunity to buy some of it. We would love to give it to you, but our finances don’t allow us this luxury.

In case you don’t remember, the dining room suite is in traditional Chinese style, and made of a hard reddish wood. I forget the name of the wood, but it will last forever.

The bedroom furniture is very different. It’s a traditional New England style and made of white pine. We hate to part with it, but that’s life!

So why don’t you all come over this weekend for a barbecue and a look at the furniture. Anytime Saturday or Sunday would be fine with us.

Cheers,

Fred

Your neighbours have recently written to you to complain about the noise from your houseflat. Write a letter to your neighbours. In your letter

? explain the reasons for the noise

? apologise

? describe what action you will take

Dear James,

I was very shocked to get your letter saying that the noise from my flat has been spoiling your evenings and causing you some distress. I am really, really sorry about that. I had no idea that you would be able to hear so much, so I hope you will accept my apologies.

As you may have guessed, I am trying to refit my kitchen in the evenings when I get home from work. Unfortunately it is all taking longer than expected and I have been having problems with getting things to fit properly. This has meant a lot of banging and hammering.

As the kitchen is still not finished, I have decided to call in a professional builder who will finish the work in the next day or two. He’ll work only during daytime hours, so you won’t be disturbed in the evenings again, I promise.

Sorry to have caused these problems,

Bill

Dear Sam,

I’ve just read your note and I want to express how so sorry I am about that noise! I had absolutely no idea that you were trying to sleep in the daytime because you were on afternoon shift this week. Tomorrow there will definitely be no noise in the daytime. Let me explain what’s going on in my flat.

As you know, there was no air conditioning here when we moved in last month. Now, with this hot weather, my wife, Susan (you’ve met her, I believe) insists that we install air-conditioning in all the rooms. So I’m having air conditioners installed and the job should be finished tomorrow. What I’ll do is tell the workmen to finish the job this evening while you’re at work.

Again, please accept my apologies. To make it up to you, I’d like to invite you and Mary to drop by on Sunday afternoon for few drinks.

Best Regards,

Bob Smith

Your have a full-time job and are also doing a part-time evening course. You now find that you cannot continue the course.

Write a letter to the course tutor. In your letter

? describe the situation

? explain why you cannot continue at this time

? say what action you would like to take

Dear Mr. Brown,

I am very sorry to inform you that I will have to withdraw from your Accounting 301 class (the Tuesday and Thursday evening class) because of the pressure of work. I will be withdrawing from the class tomorrow.

Recently, my company has been awarded several new contracts and this compels me to work overtime almost every night. Even if I could make time to attend your classes, I would still not have enough time to do the class assignments. In response to this extra workload, the company is planning to hire more staff but I anticipate it will be several months before I will be free to attend classes again. When this temporary situation at work is over, I plan to re-enroll in this class, either next semester or next year.

I would like to add that I have thoroughly enjoyed your class, especially the very clear manner in which you explain things.

Yours Sincerely,

John Wang

You and your family are living in rented accommodation in an English-speaking country. You are not satisfied with the condition of some of the furniture.

Write a letter to the landlord. In your letter

? introduce yourself

? explain what is wrong with the furniture

? say what action you would like the landlord to take

Dear Mr Smith,

I am your tenant from Flat 3 on Riverside Street. We met each other when I signed the rental agreement in your office.

I have lived here for 6 months now and I am writing to complain about some of the furniture. As you may remember, the dining table is in very poor condition and has uneven legs. It also does not match the dining chairs as these are too low to be comfortable for a table of that height. When I first pointed out to you, you agreed to provide a brand new dining set. However, you have not done so and I would really like to resolve this matter as soon as possible.

If it is more convenient for you, perhaps you could simply replace the table by finding one of a suitable height for the chairs. This would solve the problems without too much cost, so I hope you agree to this proposed solution.

Looking forward to hearing from you,

Yours sincerely,

M. M. Egil

I am looking forward to your reply.或者I’d like to resolve this situation without delay等套话。

Some people think that it is important to use leisure time for activities that improve the mind, such as reading and doing word puzzles. Other people feel that it is important to rest the mind during leisure time. Discuss both these views and give your opinion.

It is generally accepted that we all need leisure time to recover from the stresses of work and everyday life. Personally, I prefer to be active during this time, as I think this suits me better. However, what we do with our leisure time is up to us and no one can say that any particular activity is the best.

Some people relax by watching movies, reading or surfing the internet. People who have physically demanding jobs may choose these types of activities. If you are a nurse or builder, you may feel that you don’t want to do a five-kilometer run after work, because you are already physically tired.

Other people do very sedentary jobs. Computer analysts, for example, may spend all day sitting in front of a computer screen. At the end of the working day, they may be keen to stretch their limbs and improve their health by swimming or going to the gym.

Another factor that influences our choice of leisure pursuits is where we work. People who work

indoors often prefer outdoor hobbies, whereas for people who work outdoors, the reverse may be true. I am a student myself and this involves a lot of sitting in lectures, so I need to get out into the fresh air afterwards.

In any situation, the important thing is that people need to stay healthy by choosing what is best for them. The only wrong way to spend free time, in my view, is to have a sedentary job and then go home and watch television.

THANK YOU/ CONGRATULATIONS/GOOD LUCK

When thanking someone for something, it is usual to say as much as possible about how useful/enjoyable/helpful it was. When offering congratulations for some success, you usually mention how well deserved it is. When wishing someone good luck, try to reassure them or offer some friendly advice:

? I'm writing to thank you for your hospitality/the wonderful present.

? It was so kind of you lo invite me to stay with you.

? I really appreciated all your help/advice.

? I wish you good luck/Good luck in/with your exams/your driving test/your interview ? Don't worry, I'm sure you'll do well/pass.

NEWS/INFORMATION

? This is just to let you know that...

? By the way, have you heard about/did you know that ... ?

BEGINNING/ORGANISATION

Write Dear + the person’s name, if you know it (Dear Mr Smith). If not, begin Dear Sir (for a man), Dear Madam (for a woman), or Dear Sir or Madam (if it could be either). Don’t use a title like Dear Manager.

In the first paragraph, clearly state your reason for writing, Use the middle paragraphs to explain the details, beginning a new paragraph for each main point. In the final paragraph, sum uo and/or say what action you want to be taken.

ENDINGS

Don’t forget! If you began with a person’s name, e.g. Dear Mrs Blake, you must end with Yours

sincerely, not Yours faithfully. These endings are followed by a comma.

JOB APPLICATIONS

First make it clear which job you are applying for, and mention where you saw the advertisement, and when. Give all the necessary information about yourself (including age, qualifications, past employment and other experience). Say why you are particularly interested in the job, and what you have to offer. Use a new paragraph for each main topic. It may also be useful to mention when you would be available for an interview:

? I was interested in the advertisement in (newspaper/magazine) on (date) and I would like to apply for the post/position of (job title)

? I am 21 years of age and I have a Diploma in Business Administration

? I would be happy/able to attend an interview at any time which is convenient to you.

APOLOGIES

Explain why you are apologizing and what the reasons were for your behaviour. If possible, offer to make up in some way (e.g. paying for the damage) and/or promise that the problem won’t happen again:

? I am writing to apologise for the things I said at our last meeting/losing my temper.

? I would like to say how sorry I am about the trouble I have caused/that you were disturbed. ?The reason I missed the meeting was that my car broke down.

? Please let me know how much it cost and I will gladly replace it.

? I assure you that this will never happen again

COMPLAINTS

State the subject of your complaint clearly in the first paragraph. Use the following paragraphs to give all the necessary details (including dates and times, the people involved, the inconvenience you’ve been caused, etc.). Try to be clear and factual rather than emotional. Use the final paragraph to say what action you want to be taken now:

? I am writing to complain about a holiday I booked with your company.

?I am writing to say that I am now satisfied with the standard of service at your restaurant. ? I must insist that you refund the cost of the bill.

?I must ask you to…

? Could you send me your brochure/ catalogue?

? I look forward to hearing from you/receiving the information.

OPINION

Introduce the topic and give details of any letter, article, book or TV programme you are responding to. Develop your argument in separate paragraphs and sum up in the final one: ? I strongly disagree with/I completely agree with Mr Smith’s letter, which appeared yesterday. ?
