如何写好英语备忘录

一、定义概述

备忘录是一种录以备忘的公文,主要用来提醒、督促对方,或就某个问题提出自己的意见或看法。它是公司或机关内部广泛使用的一种通讯形式,具有行文清晰、语言简洁、语气坚定等特点。

二、基本要素

1、书端(Heading):包括发文日期(Date)、收文单位(To)、发文单位(From)、事因(Subject)几部分,位于正文的右上角,其格式与书信的写法相同。

2、正文(Body):正文首行从左边顶格或空两个字符写称呼,对某机关或团体的负责人一般使用正式称呼语Dear Sir,而上级写给下级的备忘录宜直呼其名,如Jim,且行文不宜太正式;自第二行起顶格或空两个字符写正文部分。

3、结束语(Complimentary Close):较为正式的结束语是Regards、With kind regards;一般结束语为Thank you。

4、署名(Signature):较为正式的署名是Yours、Yours sincerely,其正下方书写发文人姓名;一般署名为直接署名。

三、写作指导

1、确定语体:发文人根据收文人的身份及与之关系,来决定使用正式用语抑或一般用语。

2、套用格式:书写正文前,可将书端、结束语与署名拟好。

3、列出提纲:正文部分的写作可先列出提纲,盘点写作要点。按照英语备忘录的谋篇习惯,一般直接进入主题,不需要寒暄和问候等客套。

4、认真誊写:书写工整,谋篇合理。

【案例分析】

假如你是高一(13)班的班长曹玉磊,20xx年3月18日因事请假离校,在此之前需交接班务工作,请写一份100字左右的班级备忘录,向副班长交代具体事宜如下:

1、上课向老师问好喊起立;

2、一日三次定时检查班级及卫生区洒扫情况;

3、坐于班级讲台前维持班级自习课纪律;

4、负责集队、带操。

5、如果遇到突发事件,请多与其他人商量。

篇三 :商务英语备忘录范例

仔细阅读作文要求,判断该题是要求你写备忘录还是便条?因为这关系到作文行文中语言表达的正式程度。

根据题目要求核对所写作文是否包括了该写的三个部分。

核对作文第一稿的长度,必要时可作修改。

写完后,校对作文中的语法、词汇及文体是否正确、恰当。

范例:

你是一家IT公司的人力资源部经理。

你打算请Cooway公司为你安排一次为期两天由10人参加的团队组建培训。

√ 给你的助理写一个字数为40-50的备忘录:

√ 告诉她与培训项目主办者取得联系。

√ 说明项目的参加人员和持续时间。

√ 安排两个可以利用的周末

提示:

1) 按照英语备忘录的谋篇习惯,一般直接进入主题,不需要寒暄和问候等客套。

2) 看清角色要求,把握好文体。作为经理,给助手写备忘录,行文问题不能太正式,宜直呼其名,而不必套用Mr.或Mrs.等称呼。通用,结尾处也无须客套,署名也只需要写名,不需要写姓。

* 保密级别:分为三类 top secret, secret, confidential, 一般备忘录不用保密,这一栏就空着;

* 文件编号:发件人方文件编号和收件人方文件编号;

* 发件日期;

* 备忘录标题线;

* 正文;

* 签名、职务;

* 誊写备忘录的人和打字员姓名首字母缩写;

* 附件数目;

* 抄送:如果送给收件人以外的人时要注明。

写备忘录时要注意以下几点:

备忘录(memo)

备忘录,顾名思义,是一种录以备忘的文本,用来提醒、督促对方,或就某个问题提出看法或意见。它一般用于补充正式文件的不足,它的内容可以分为以下几项:

1.书端(Heading)

2.收件人的姓名、头衔、地址(Address’s Name, Title, Address)

3.正文(Body)

4.结束语(Complimentary Close)

5.署名(Signature)

书端的内容有:发文单位的名称、地址、发文日期、电话、电报挂号、电传号等等。书信格式与一般信件相同。

收文人或单位的姓名、头衔、地址写在左上角。称呼顶格写,一般用Dear Sir, 对政府官员可用Sir。“事由”一项较少使用,可以在称呼之前或之后,其前加Re或Docket,subject。写在称呼前时要顶格写,在称呼之后时写在信笺的正中,词句简练。

正文,结束语和署名各项与一般信件的格式相同。
